Translators USA has helped break the language barrier on hundreds of business meetings, conferences, conventions, working dinners, factory tours and other multilingual events. We thus know that interpreters are needed virtually 24/7 and 365 days a year. And this counts for both events planned months in advance and last minute arrangements. Therefore it is highly important to know that a weekend or holiday, or/and unconventional hours aren't an obstacle for your interpreter(s).
Hire Interpreter(s) in Advance If Possible
You are highly recommended to start looking for interpreter(s) as soon as a need for interpreting services arises. The thing is that even the most experienced, knowledgeable and skilled interpreters can do their job much better if they have time to prepare. Unlike translators, they don't have time to check the dictionary but must choose the right words immediately, no matter if interpreting simultaneously or consecutively. Therefore, all interpreters will appreciate if they are informed about the event and its subject(s) at least a few days in advance.
Another reason why it is recommended to hire interpreters as soon as possible is to make sure that all language combinations are covered. It is important to be aware that interpreters are getting increasingly sought after and as a result, many are booked up weeks in advance. If you wait until the last minute, you can thus face difficulties finding interpreters to cover all language combinations. This doesn't mean that you have to postpone or cancel the event, however, both alternative solutions have their drawbacks. For example, relay interpreting which is an option when interpreters for the target language combinations are unavailable increases the risk of mistranslation because the source language is interpreted twice before reaching the listeners. Having interpreters flown in, on the other hand, increases the cost of interpreting services because you will also have to cover travel-related expenses, accommodation, etc.
Information You Should Provide to Your Interpreting Service Provider
Even though you may not have all the information yet, you are advised to contact an interpreting service provider and give them as much information about your event as possible, most notably the date of the event, the venue, language combinations, subject(s), interpreting equipment available/needed, etc. Experienced, skilled and knowledgeable interpreters don't have any major difficulties adjusting to unplanned changes/requirements but they will provide a better service if they have at least the basic information and some time to prepare. For the very same reason, you are advised to work closely with your interpreting service provider and provide them with additional information as soon as you know more.
